Requirements

Job Requirement

·         Bachelor's degree in Business Administration, Facilities Management, Operations, or a related field.

·         Minimum 5 years of progressive experience in Administrative or Operations Management, with at least 2 years in a supervisory or multi-site management capacity.

·         Previous experience managing administrative functions within transportation, automotive, or multi-site commercial operations is a strong asset.

·         Proficiency in facility management software, strong budget planning and reporting skills, and expertise in MS Office Suite.

·         Proven ability to manage complex vendor relationships, excellent organizational and problem-solving skills, and strong written and verbal communication.


Responsibilities

Job Description

·         Oversee daily administrative functions across head offices and all locations for the three business.

·         Develop and implement standardized administrative policies and procedures to ensure consistency, efficiency, and adherence to company standards across all sites.

·         Provide dedicated administrative support to the Automobile Trading Sales team, including assistance with sales documentation and ensuring seamless handover for vehicle registration processes.

·         Manage the new car inventory process for the Automobile Trading unit, including daily physical stock checks, coordinating inbound/outbound vehicle logistics, and overseeing efficient lot organization.

·         Manage operational budgets for administrative supplies, vendor services, and facility maintenance, ensuring cost-effectiveness.

·         Manage company assets, including non-revenue fleet vehicles and office equipment, overseeing their regular maintenance and replacement planning.

·         Ensure efficient flow and inventory control of administrative materials required for public-facing operations and back-office support.

·         Ensure all facilities and administrative activities comply with local regulatory requirements, including safety, environmental, Car licensing, and business licensing.

·         Oversee the central administrative filing and document management system, ensuring accurate and accessible record-keeping for all operations.
